Position Overview

Q Engineering is seeking a detail-oriented and highly organized Project Coordinator to support the coordination of residential, commercial, and municipal engineering projects.

In this role, you will work remotely with clients, municipalities, consultants, contractors, and internal design teams to help move projects from initiation through permit approval. You will be responsible for tracking project milestones, maintaining accurate documentation, coordinating communication, and supporting the overall project delivery process.

This position is ideal for someone who is proactive, organized, comfortable managing multiple priorities, and experienced in engineering, construction, or building permit coordination.

Key Responsibilities

  • Coordinate engineering and permit projects from initiation to completion.
  • Prepare and maintain project schedules, trackers, and milestone updates.
  • Coordinate with clients, municipalities, architects, engineers, surveyors, contractors, and internal team members.
  • Review project packages before municipal submission to ensure completeness.
  • Submit permit applications and monitor approval status.
  • Track municipal comments and coordinate responses with the design team.
  • Maintain project documentation, project files, and correspondence using Microsoft Teams and company systems.
  • Schedule meetings, prepare meeting minutes, and follow up on action items.
  • Assist with quotations, contracts, invoices, and project documentation when required.
  • Identify project risks and communicate issues to the Project Manager.

Skills & Qualifications

  • Bachelor’s Degree or Diploma in Project Management, Engineering, Architecture, or a related field.
  • Minimum 3 years of project coordination experience.
  • Experience coordinating engineering, construction, or building permit projects.
  • Experience working with Canadian municipalities and permit processes is considered an asset.
  • Proficiency in Microsoft Teams, Outlook, Word, Excel, and project management software.
  • Excellent organizational, communication, and problem-solving skills.
  • Ability to manage multiple projects and meet deadlines.
  • Ability to work independently in a remote environment.

Working Conditions

  • Hours of Work: 40+ hours per week or as agreed in the engagement agreement.
  • Work Environment: Fully remote position using Microsoft Teams and cloud-based collaboration tools.
  • Special Requirements: Reliable high-speed internet, a professional home office setup, ability to maintain confidentiality, and availability during agreed working hours.

  • The Project Coordinator is expected to maintain accurate project documentation, coordinate effectively with all stakeholders, protect confidential information, and meet agreed project schedules and quality standards while complying with Q Engineering’s procedures and professional expectations.

    Performance will be evaluated based on project coordination, documentation accuracy, communication, productivity, organization, meeting project deadlines, and client service.
